Who we are
This policy explains how Amrit Ras Australia Limited (ABN 86 702 089 138) (“Amrit Ras Australia”, “we”, “us”) collects, uses, stores and discloses personal information through this website, the Amrit Ras mobile app and our events.
We are a not-for-profit organisation and we are committed to handling personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
We only collect what we need. Depending on how you interact with us, this may include:
When you register to volunteer
- Your full name, mobile number and email address
- Whether you are 18 or over
- If you are under 18, your parent or guardian's name and mobile number, and confirmation that they will accompany you
- The areas of sewa you are interested in and the days you are available
- If you choose the children's area, your WA Working with Children Check (WWCC) number and expiry date
- Any notes you choose to give us
- Your consent to us storing your details and contacting you
When you contact us
Your name, contact details and anything you tell us when you email or call us.
When you use the website
Our website does not use advertising, tracking cookies or third-party analytics. Our hosting provider automatically records basic technical information (such as IP address, browser type and pages requested) in server logs to keep the site secure and working.
The Amrit Ras mobile app
If you install the Amrit Ras app and allow notifications, we store a push notification token for your device so we can send you event updates. This token does not identify you by name. You can turn notifications off at any time in your device settings.
If you register to volunteer through the app, we collect the same information described above for volunteer registrations. The app and website share the same secure database.
Why we collect it
We use your personal information to:
- Organise volunteers, assign roles and shifts, and contact you about your sewa
- Keep children safe — including confirming that anyone volunteering in the children's area holds a current WWCC, which we may verify with the WA Department of Communities
- Make sure volunteers under 18 are accompanied by a parent or guardian
- Respond to your enquiries
- Send event updates, where you have asked to receive them
- Meet our legal, insurance and reporting obligations
We will not use your information for any unrelated purpose without your consent.
Who sees it
Your information is only accessible to authorised members of the Amrit Ras Australia board and volunteer coordinators who need it to organise the event. We do not sell, rent or trade personal information, and we never share it for marketing.
We use trusted service providers to run our systems:
- Supabase — our database. Volunteer data is stored on servers in Sydney, Australia.
- Netlify — hosts this website.
- Expo, Apple and Google — deliver push notifications to the mobile app.
Some of these providers are based overseas (mainly in the United States) and may access limited data to provide their services. We choose providers with strong security and privacy commitments.
We may also disclose information where required or authorised by law.
Photos and videos at events
Our events may be photographed or filmed for our website, social media and records. We never publish photos of children without a parent's consent, and we never publish a child's full name, school or location.
If you would like a photo of you or your child removed, email amritrasaustralia@gmail.com and we will take it down.
How long we keep it
We keep volunteer registrations, including WWCC details, for 5 years after the event they relate to. This helps us meet our record-keeping and child-safety obligations and invite you back for future events. After that, we securely delete or de-identify them.
You can ask us to delete your information sooner at any time, unless we are required by law to keep it.
Keeping it secure
We protect your information with encrypted connections, access controls that limit who can see volunteer records, and secure, access-controlled storage. No system is completely secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
Accessing or correcting your information
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing amritrasaustralia@gmail.com or calling 0426 886 820. We will respond within 30 days. We may need to confirm your identity first.
Questions and complaints
If you have a question or concern about how we have handled your information, please contact us first at amritrasaustralia@gmail.com and we will try to resolve it within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
